Who we are
Lovat is a scouting system for FIRST Robotics Competition teams. It’s made up of Lovat Collection (the scouting app), Lovat Dashboard (on phones, tablets, desktops and the web), the Lovat API, and this website. “We” means the Lovat team. Many Lovat users are students, some of them minors, so we collect as little personal information as we can and keep it in our own systems.
What we collect
Account information. Your name, email address, and the team you belong to. If you sign in with Google or Apple, we receive your name and email from them. We use passkeys and emailed sign-in codes, so we never store a password.
Scouting data. The match reports, notes, schedules and picklists you and your team create. Each report records which scouter submitted it and from which device.
Device information. For the apps: a device identifier, platform and app version, so your team can see which devices are signed in and so offline sync works between teammates.
Usage data. Which screens and features are used, errors, and basic technical details such as browser type and IP address. We use this to find bugs and decide what to improve.
Things you send us. Messages from the contact form, update sign-ups, and account deletion requests, including the email address and team number you enter.
How we use it
- To run Lovat: sign you in, sync your team’s data across its devices, and compute analysis.
- To share scouting data the way Lovat describes it: other teams can see aggregates built from your team’s reports, and can open one of your reports or notes at a time, with your team shown and the scouter’s name hidden. Only your own team sees who scouted what.
- To email you sign-in codes and, if you asked, product updates.
- To answer your messages and handle deletion requests.
- To keep Lovat secure, including rate limits and detecting bulk scraping.
We don’t sell personal information, and we don’t use it for advertising. This website doesn’t use Google Analytics or advertising trackers.
Who processes it
- Amazon Web Services hosts Lovat: the database, file storage, servers, and the email that delivers sign-in codes (Amazon SES). Data is stored in the United States.
- PostHog receives product usage events and error reports from the apps and the API.
- Google and Apple are involved only if you choose to sign in with them.
- The Blue Alliance supplies public event and match data. We don’t send it any personal information.
Sign-in is handled by our own server (Better Auth, running in our infrastructure), not by a third-party identity provider.
How long we keep it
Account information is kept while your account exists. Scouting data belongs to the team that collected it and is kept across seasons so teams can compare years. Usage data is kept for a limited time for analysis. Contact messages and sign-ups are kept until they’re no longer needed or you ask us to delete them.
Deleting your data
- Lovat Dashboard: delete your account yourself in Settings. Here’s how.
- Lovat Collection: use the deletion request form.
- Anything else: contact us to see, correct or delete information you’ve given us.
When an account is deleted, your name, email and sign-in are removed. Reports you scouted stay with your team, without your name, unless you ask us to delete them too. We may keep information when the law requires it.
Security
Data is encrypted in transit, access is restricted to the people who run Lovat, and the apps sign and verify the data teammates exchange with each other. No system is perfectly secure, but we work to protect your information and will tell affected users if something goes wrong.
Changes
If this policy changes, we’ll update the date at the top of this page, and tell users in the apps or by email before a significant change takes effect.
